Enquiry season is the same twelve answers, written out warmly, several hundred times. Is our date free. What is in the full day. How much holds it. When do we get the gallery. Do you travel. What happens if it rains.

None of them are hard questions. That is the problem. The hours do not go into the difficult emails, they go into the twenty easy ones, and every one of those still has to sound like a person who is pleased the couple wrote.

Which is why the usual advice, just let AI answer them, fails in this trade in a way it does not in most others. People planning a wedding can tell. A reply that reads like a brochure is worse than a slow reply: slow only means you are busy, generic means you are not really there.

Planners get the same thing pointed at suppliers rather than couples: chasing the florist for final numbers, telling nine people the timeline moved, answering the venue about access times again.

The voice is the whole point

MailTwin reads your own sent mail, on your Mac, and copies your habits. How you open. Whether you use first names in the first line. How long you let a sentence run. How you close. If you always write "so glad you found me", you keep writing it, because it learned that from you and not from a style guide.

It learns separately for every mail account. The studio address and the personal one keep their own register, so the enquiry reply does not start sounding like an email to your sister, and neither drifts towards the other.

You still read everything before it goes, and that matters more here than in most trades. The draft is a first pass written by something that has learned your habits. It is not a decision made on your behalf.

The details it must not get wrong

Fees, deposits, delivery dates, mileage, second-shooter cost, what the usage licence actually permits. Those are the things a wedding contract turns on, and a tool that quietly rounds £2,400 up or moves a six-week gallery to four is worse than no tool at all.

So before any rewrite reaches your draft, a validator compares it against what you wrote and rejects it if a number, a date, an amount, a link or an email address has changed. The same check runs on a draft you wrote yourself and asked it to improve.

The limit of that is worth saying plainly: it checks that the facts you gave it survived intact. It cannot judge whether a new sentence is factually true. Type the wrong delivery date and you will get a beautifully written wrong delivery date. Reading it is still your job.

What it will not do

It does not read your inbox on its own, does not answer anyone without you, and never sends. There is no autonomous mode. It is Mac only, macOS 13 or later, and Apple Mail only. There is no iPhone or iPad app, so the enquiry you read on the train still waits until you are back at the desk. It needs two macOS permissions on first run, Automation for Mail and Accessibility, which is a few minutes of clicking in System Settings and cannot be automated away, because Apple deliberately does not let an app grant itself access to your mail. And if your replies are mostly one line, it will not save you much. It earns its keep on the paragraph-long answers you write forty times a season.

The Mac part, and the AI part

This is a Mac-heavy trade. If you are already editing on a Mac, the enquiries are landing on the same machine, and MailTwin sits inside Apple Mail there. Nothing to migrate, no forwarding, no second inbox, no new address to put on the website.

MailTwin has no AI of its own. You point it at one of eight engines using your own key. Apple Intelligence, on macOS 26 and later, and Ollama both run on the Mac itself, so nothing is transmitted at all. With a cloud provider the request goes from your Mac straight to that provider. Your voice index stays on the Mac either way; when you generate with a cloud provider, a short sample of your own sent mail travels with the request to that provider, and never to us. There is no MailTwin server and no MailTwin account.

It also summarizes a long thread, pulls out the action items, translates, and improves a draft you have already written, including inside Mail's own compose window.

Common questions

Will the replies sound like me, or like a chatbot?

They are built from your own sent mail, read on your own Mac, so they copy your habits: how you open, whether you use first names straight away, how warm you are, how you sign off. Voice is learned separately for each mail account, so the studio address and the personal one keep their own register. You read every draft before it goes, and you can change any of it.

Can it change my prices or my delivery dates by mistake?

A validator checks every rewrite against what you wrote and rejects it if a number, a date, an amount, a link or an email address has changed. What it cannot do is judge whether a new sentence is true. If you type the wrong gallery date you will get a well-written wrong gallery date, so read it before you send.

Does it ever send anything on its own?

No. It drafts into your reply window. Every email is one you read and send yourself. There is no autonomous mode and no scheduled sending.

Do my couples' emails get handed to a third party?

That is your choice. Two of the eight engines, Apple Intelligence and Ollama, run on the Mac itself and transmit nothing. With a cloud provider the request goes from your Mac straight to that provider, under a key you own and can revoke. There is no MailTwin server and no MailTwin account in the path.

Is it a subscription?

No. It is a one-time licence, with a 30-day full trial and no card to start. If you pick a cloud engine you pay that provider for what you use, typically a few cents a day at ordinary email volumes, and the app shows you a running total.
